Unifi Venue Terms & Conditions

These Terms & Conditions (“Terms”) apply to all venues (“the Venue”) registering for a Unifi Business Account through www.unifi.app (the “Platform”).
By submitting the online form and ticking the acceptance box, the Venue agrees to these Terms and authorises Unifi App Limited (“Unifi”, “we”, “our”, “us”) to provide the services described below.
1. Service Overview & Free Trial
1.1 Upon signup, the Venue receives a 30-day free trial, starting on the date the online registration is submitted.
1.2 During the trial, no subscription fees are charged.
1.3 A Direct Debit mandate must be set up as part of activation. No payment will be taken immediately; the mandate simply authorises Unifi to collect the refundable hardware deposit after the onboarding call.
1.4 At the end of the 30-day trial, the Venue’s chosen subscription (monthly or annual) will begin automatically unless the Venue requests cancellation within the trial window.
2. Fees & Billing
2.1 Subscription Fees – payable on a rolling monthly or annual basis, as selected during signup.
2.2 Hardware Deposit – a refundable deposit of £99 + VAT per scanning kit (tablet + scanner + case). This will be collected by Direct Debit after the onboarding call once the number of kits has been confirmed.
2.3 The first subscription payment will be collected 30 days after the signup date, unless the Venue cancels beforehand in accordance with Clause 1.4.
2.4 All payments are processed securely through GoCardless.
2.5 Unifi reserves the right to suspend service for non-payment beyond 14 days of the due date.
3. Hardware
3.1 Scanning kits are provided by Unifi and checked to be in full working order prior to delivery.
3.2 The Venue is responsible for loss or damage due to misuse or neglect and agrees to cover replacement costs at the following rates (ex VAT):
• Samsung A9 Tablet – £75 • Bluetooth Scanner – £25 • Protective Case – £14
3.3 Hardware remains the property of Unifi at all times unless otherwise agreed in writing.
4. Data Protection & GDPR
4.1 Unifi acts as Data Controller for student data collected through the Platform and shares limited data with participating venues on a consented basis.
4.2 All exported student data must be treated as confidential and used only for legitimate, GDPR-compliant marketing by the Venue.
4.3 The Venue must not share, sell, or otherwise disclose student data to any third party and must not send more than four communications per student per month without additional consent.
4.4 Unifi may review aggregate usage data to ensure GDPR compliance across the network.
5. Platform Use
5.1 The Venue will have access to the Unifi Business Platform, including its venue profile, discount & event promotion tools, and analytics dashboard.
5.2 The Venue agrees to maintain professional conduct on the Platform. Misuse may result in suspension or termination.
5.3 Student data provided via Unifi may only be used for direct marketing relating to the Venue’s own premises and promotions.
5.4 Pulse Reminder System
Unifi may automatically send reminder notifications (“Pulse Reminders”) to students who have visited or scanned at the Venue, encouraging repeat visits or loyalty redemptions. These reminders are part of the standard Unifi retention service and are sent by Unifi on behalf of the Venue in accordance with Unifi’s Privacy Policy and GDPR requirements. The Venue acknowledges and agrees to this automated communication as a core function of the Platform.
6. Support
6.1 Unifi provides customer and technical support Monday–Friday, 08:00–17:00 (UK time).

7. Performance Insights
7.1 The Venue’s dashboard will display key performance metrics such as scan volume, loyalty activity, and audience analytics.
8. Termination & Hardware Return
8.1 Following the free trial, this agreement continues on a rolling basis (monthly or annual) and may be cancelled by either party with 30 days’ notice.
8.2 Any notice given during the free trial will prevent the agreement from converting to a paid term.
8.3 On termination, the Venue must return all hardware (tablet, scanner, cables, and case) to Unifi App Ltd at the address specified below. The refundable deposit will be returned once all items are received in good condition.
8.4 Failure to return hardware, or returning damaged items, may incur replacement charges as set out in Clause 3.2.
9. Amendments
Unifi may update these Terms from time to time. The latest version will always be available on www.unifi.app. Continued use of the Platform constitutes acceptance of any updates.
10. Governing Law
These Terms are governed by the laws of England and Wales. Any disputes shall fall under the exclusive jurisdiction of the courts of England and Wales.
